Refunds & transfers

The short version

Entry fees are non-refundable. Your entry fee is committed early to venue, timing, safety and equipment costs, so we can't give it back if you change your mind or can't make it.

If you can't race, you can transfer your entry to someone else for $25, up to 7 days before the event. That's the route to not losing your money.

This page summarises clauses 2 and 3 of the Terms of Entry, which govern your entry. Where this page promises you more than the Terms do — as it does on refunds if we cancel — this page is what we'll honour.

When we do refund

There are two situations where a refund happens:

  • We cancel the event — you get your entry fee back in full. See below.
  • The law requires it — nothing in our policy limits your rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986.

Injury, illness, or a change of plans

There's no refund for these, including with a medical certificate. Transfer your entry to someone else instead — up to 7 days before the event, as below.

We strongly suggest your own travel and health or accident insurance for the costs an entry fee policy can never cover: flights, accommodation, and time off.

Transferring your entry to someone else

  • $25, up to 7 days before the event. After that, transfers are closed and the name on an entry can't be changed — including on race day.
  • Both of you complete our transfer request process. The incoming athlete accepts the Terms, gives us their own registration details, and has to meet the same eligibility rules as everyone else — including being 15 or over, with a parent or guardian's consent if they're under 18.
  • Money for the entry itself changes hands between the two of you, not through us.
  • Entries can't be on-sold or advertised for sale on any third-party platform, including social media and resale sites. An entry obtained that way can be cancelled without refund.

Changing day, category or division

Moving between Saturday and Sunday, or between entry types, may be possible at our discretion up to 7 days before the event, subject to space. You pay any difference in entry fee; if you move to a cheaper entry there's no refund of the difference.

Changes to your start time or wave

We may adjust published start times and the wave schedule for operational reasons. A change to your wave, heat or start time is not a cancellation of the event and doesn't entitle you to a refund.

Weather

Parts of the event are outdoors — the running course uses public streets, and the sled push and pull are on outdoor concrete. In bad weather we may shorten, reroute, move indoors or briefly pause an outdoor element for safety. None of that is a cancellation, and none of it entitles you to a refund.

If we cancel the event

If the event doesn't go ahead, you get a full refund of your entry fee. That applies whatever the reason — weather, a natural disaster, a civil emergency, losing the venue, or a decision of ours. We don't deduct costs we've already committed.

If we're able to reschedule, we'll also offer you a place at the new date. Take that instead of the refund if you'd rather — it's your call, not ours.

What we can't cover is the money you've spent around the event: travel, accommodation, flights or equipment. That's what your own travel insurance is for.

How refunds are paid

Where a refund is due, it goes back to the card used for the original payment, in New Zealand dollars, usually within 5–10 business days. We can't refund to a different card or account.
