Privacy

TBC — registered entity name collects and holds the information described below for the Nelson Fitness Race. We handle it in line with the Privacy Act 2020. Questions or requests go to entries@racenelson.co.nz.

• About each athlete: name, date of birth, gender, and optionally email and phone. Date of birth is used to work out your age grade.
• About whoever enters: name, email and phone.
• Emergency contact: a name and phone number for someone not racing.
• What you tell us: anything you write in the notes or adaptive fields, including health and accessibility information you choose to share.
• Payment: the amount, currency, a reference number and the payment status. Card numbers go straight to our payment gateway and never reach us.

• To register you, take payment and send your confirmation and wave time.
• To time you and publish results in the right category.
• To reach someone if you're hurt or unwell on the day.
• To plan the adaptive division properly — equipment, standards and support agreed with you individually.
• To order the right number of race packs.

Health and accessibility information is only seen by the people who need it to run the event safely.

• Our payment gateway — processing card payments.
• Our database — where your entry is held.
• Our mail provider — sending your confirmation and event emails.
• Our hosting provider — serving this website.
• Meta — advertising measurement. See the pixel section below for exactly what it does and doesn't receive.
• WhatsApp (Meta) — if you give us a mobile number, we message you there when entries open.
• Our timing and medical providers on race day — TBC, to be named here once confirmed.

Some of these providers store data outside New Zealand. We don't sell your information, and we don't share it for anyone else's marketing.

Published results include athletes' names, category, age grade and times. Photos and video from the event may be used to promote it. Email us before race day if you'd rather not appear.

Entering means you'll get emails about this event — confirmation, wave times, race week information, results. If we later send anything promotional about future events, every message will have a one-click unsubscribe.

Entry and results data is kept for TBC years so we can publish historical results and meet our tax and insurance obligations. Health and accessibility notes are deleted within TBC months of race day.

You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it where we're not required to keep it. Email us and we'll respond within 20 working days.

This site runs the Meta (Facebook) pixel. It tells us how many people arrived from our Facebook and Instagram ads and how many of those went on to register interest, so we know which ads are worth paying for. It sets cookies in your browser, and Meta receives the pages you visited on this site along with your IP address and browser details.

What it does not send is anything you type. Your name, email, phone number and age grade stay with us — the pixel reports that a registration happened, not who registered.

To stop it, block trackers in your browser or use its private mode. Nothing on this site needs the pixel to work, including the registration form. You can also turn off ad personalisation in your Facebook or Instagram settings.

The only other cookie we set is a session cookie on the organisers' admin page.
